Guidance notes of IP management system - Online Computer Copyright Recordal

Knowledge Transfer Office (KTO) has developed copyright recordal procedure at HKBU.

The copyright recordal procedure lays out clear steps for initialising a copyright recordal at HKBU with responsible parties of each step.

Standard Procedures for Copyright Recordal

A. Collect Copyright information

Author completes online disclosure form from KTO website.
Author then submits the completed form and his work to KTO.

B. KTO Review Copyright information

Scenario 1: KTO recommends to file copyright registration & author agrees	If KTO recommends for copyright registration, KTO will seek quotation from law firm/authorities. KTO provides recommendation and quotation of filing a registration to author. Request an account code from author if he agrees to file copyright registration. KTO creates PR. Once PR is approved by budget controller, KTO instructs law firm/authorities to proceed with registration.
Scenario 2: KTO recommends to file copyright registration but author does not agree	If KTO recommends for copyright registration, KTO will seek quotation from law firm/authorities. KTO provides recommendation and quotation of filing a registration to author. If author does not wish to make copyright registration, KTO will record the information in the IP management system.
Scenario 3: KTO does not recommend to file Copyright registration, KTO would record it in the IP management system only	PI is suggested to add a copyright statement at the copyright work: © symbol along with the creation year and name of owner. E.g. ©2020 Hong Kong Baptist University
